Fox Entertainments Terms & Conditions

These terms apply to Weddings, Parties, Corporate Functions, Events, and Festivals.

For Club, Pub, or Bar, DJ, Band, and/or Equipment bookings, please refer to the section at the bottom of the page.

By making your deposit or balance payment, you confirm that you accept and agree to be bound by these terms and conditions.

The final balance will be invoiced directly by the DJ and/or Entertainment Providers and Suppliers.

The client is responsible for ensuring all booking information is accurate and complete. Any complications arising from incorrect information on the original booking will not render Fox Entertainments liable for delay, non-performance, or incorrect performance.

Setup

Fox Entertainments and/or the booked act will provide the following setup as standard, unless otherwise directed: DJ booth, speakers, decks, disco lighting, tablet or backup laptop, and all necessary cables and leads.

Fox Entertainments requires a minimum setup area of 3m x 5m.

A hard and stable surface must be provided for equipment setup. For marquees or temporary structures, this area must be separate from the dance floor to prevent equipment instability. In such cases, a small stage or separate floor area is necessary.

Fox Entertainments requires clients to provide soft drinks and a meal or snack as appropriate. For full-day events or weddings, an afternoon and evening meal are required, which can be the same as guest meals. Please inform venues or caterers that supplier meals are needed. If not provided, Fox Entertainments will invoice the client up to £20 per meal.

Payment

The total fee for services is defined in the deposit invoice.

A non-refundable deposit is required to secure the booking and date.

The booking will not be confirmed until the deposit is paid.

If the client wishes to reschedule, Fox Entertainments will endeavour to accommodate, but if the new date is not feasible, the deposit remains non-refundable. Rescheduling must occur no less than 60 days before the event date.

For cancellations, the client must give at least 30 days' notice. Cancellations after this point will result in the full balance due. Deposits are non-refundable. Cancellations must be confirmed in writing via email, WhatsApp, or text message.

Balance payments may be made via cash or bank transfer. PayPal payments are subject to a surcharge, charged at cost.

Music

Fox Entertainments DJs will play songs chosen by the client and/or from a popular playlist.

DJs can take requests from guests, provided the requested music is in the DJ’s collection or time permits. DJs will attempt to source additional music if there is time and sufficient internet signal, though this may not always be possible once the event has begun.

Damages

The client is fully responsible for their guests' behaviour and will be financially liable if damage or theft occurs.

The client agrees that they and all event guests will treat Fox Entertainments personnel with professionalism and respect. Any abuse or mistreatment may result in a temporary or permanent halt in service. Any threats of violence may result in calling Security Staff, Venue Staff, or Police. No refunds will be issued if services are halted under these conditions.

The client agrees to cover any damages to Fox Entertainments' equipment caused by negligence, drunkenness, or theft by event guests. If equipment is damaged, the DJ will immediately halt the performance to inspect the equipment. This may result in music stopping temporarily.

In the case of lasting damage, Fox Entertainments reserves the right to end the performance and pack up. No refunds will be issued if this occurs.

Cancellation/Illness

In the unlikely event of illness or another reason preventing the DJ from attending, Fox Entertainments will arrange a like-for-like replacement. All costs incurred will be covered by Fox Entertainments, and any savings, if applicable, will be passed to the client.

Club, Pub, or Bar, DJ, and/or Equipment Bookings

Managers, appropriate persons, or venues requesting Fox Entertainments' services, whether verbally or in writing, are bound by the terms below.

Cancellation Terms

Notice is required to cancel or modify bookings:

  • 8 to 13 Days before: 25% of the booking fee is due.
  • 7 to 12 Days before: 50% of the booking fee is due.
  • 3 to 7 Days before: 75% of the booking fee is due.
  • 48 hours or less: 100% of the booking fee is due.

If unforeseen circumstances prevent the venue from hosting, Fox Entertainments may waive these terms at its discretion.

Damages

The venue or venue manager assumes full responsibility for guests at the event. They agree that they and all attendees will treat Fox Entertainments personnel professionally. Any abuse may result in a temporary or permanent service halt without a refund.

The venue or venue manager is responsible for covering any damages to Fox Entertainments' equipment caused by venue employees or guests. In the event of damage, music and lighting may be stopped temporarily for equipment inspection.

If lasting damage is found, Fox Entertainments reserves the right to end the performance. No refunds will be issued if this occurs.

Cancellation/Illness

In the event of illness or another reason preventing the DJ from attending, Fox Entertainments will arrange a suitable replacement, covering any additional costs, and any savings will be passed back to the client.

- Promote our work with your consent (e.g., event footage or testimonials)

We will never sell or rent your data to third parties.

4. Legal basis for processing

We rely on the following lawful bases under UK GDPR:
- Contract: To perform our obligations as part of your booking or enquiry.
- Consent: For photos, videos, and marketing content.
- Legal obligation: For tax, insurance, or safety record-keeping.
- Legitimate interest: To manage our business operations and improve services.

5. How we store and protect your information

Your data is stored securely on password-protected devices and encrypted cloud systems. We retain booking information for up to 6 years (for accounting/legal purposes) and marketing consent data until you withdraw consent. When data is no longer needed, it is securely deleted.

6. Sharing your data

We only share data where necessary, for example:
- With trusted subcontractors (e.g., co-hosts, videographers, or photographers) involved in your event
- With payment providers or accountants for transaction processing
- With regulatory bodies or insurers where legally required

All third parties are contractually bound to handle your data securely and only for the intended purpose.

7. Your rights

Under UK data protection law, you have the right to:
- Access the personal data we hold about you
- Request correction or deletion of your data
- Object to or restrict certain processing
- Withdraw consent for marketing or promotional use at any time
